Frequently Asked Questions
-
Who is my employer?
KHI Solutions is your employer of record while you are assigned to a client. We support you with payroll, benefits (when eligible), time and expense processing, and employment-related questions throughout your assignment.
-
How do I submit my time?
Time is submitted using the client-designated timekeeping system, which may be dotStaff, Vector, or ADP. Instructions are sent to the email address you on file in your ADP Workforce Now account. If we experience a delay in setup, you may receive a paper timesheet. Time for the prior workweek must be submitted by 10:00 a.m. EST on Mondays to ensure timely payroll processing. -
Who approves my time and expenses?
Your direct manager is typically responsible for reviewing and approving time and expense submissions. Notifying your manager after submitting helps keep approvals moving on schedule. -
When and how am I paid?
Payroll is processed once per week, with regular paydays on Fridays. While some banks may offer early deposits, KHI Solutions can only guarantee Friday paydays. Pay statements are available in ADP Workforce Now, and we encourage you to review your pay statement each week. -
Why is no federal tax coming out of my weekly pay?
The amount of federal income tax withheld from your pay is calculated by the federal government based on several factors, including how you complete your Form W-4, your earnings, and other personal financial variables. These factors ultimately determine the percentage, if any, of federal income tax to be withheld from your pay. To ensure your W-4 is accurately completed for your specific situation, we recommend consulting a tax professional. Alternatively, the IRS Withholding Estimator is a helpful tool that can guide you through the process based on your income and other details: irs.gov/individuals/tax-withholding-estimator. You’re welcome to update your Form W-4 at any time through your ADP Workforce Now account. -
How do expense reimbursements work?
Expense reimbursements are submitted separately from time entry and typically take up to three weeks to process. Approved reimbursements are paid through payroll and, when submitted according to guidelines with proper documentation, are generally not taxed. Responding promptly to any questions or corrections helps avoid delays. -
Do you offer benefits?
Benefits may be available to eligible contracted employees based on assignment details and hours worked. Plan options, eligibility, and enrollment details are outlined in the Benefits Guide available on our site. -
Can I make a change to my insurance?
Unless you have a Qualifying Life Event (QLE), you cannot make changes until our Annual Open Enrollment period in November. A QLE is a significant life change—such as marriage, birth of a child, or loss of other coverage—that may allow you to enroll in or change benefits outside of standard enrollment periods. QLEs must be reported within the required timeframe and may require documentation. -
How do I receive my W-2?
KHI Solutions releases W-2 tax documents by the federal-mandated deadline of January 31. An electronic copy of your W-2 can be downloaded directly from your ADP Workforce Now account. -
How do I update my personal information?
You can update your mailing address, direct deposit information, and tax forms through ADP Workforce Now Self Service. Keeping this information current helps prevent payroll or communication issues. -
Am I paid for jury duty?
KHI Solutions does not pay for days missed due to jury duty, as the court system offers various stipends to jurors to help offset the financial impact. Your job remains protected during your jury service as required by applicable state laws. Please send us a copy of your jury duty summons so that the excused absence can be properly documented.
-
What should I do if I notice an error or have a question?

Where do I send a loan forgiveness form?
We are not eligible to complete this form as KHI Solutions is not considered a not-for-profit public service organization. This is a common misconception, since your assignment might be with a government agency or a not-for-profit public service organization. However, your employment is not held directly with these government agencies or not-for-profit public service organizations, but with KHI Solutions powered by Knowledge Services. -
What happens if my assignment ends?
When an assignment concludes, KHI Solutions will support you through the offboarding process, including final pay considerations and system access. If future assignments are available, you may be contacted regarding next opportunities.
